Production Manager / Account Coordinator

Location: Lake Success, NY/Queens-Long Island border

We are seeking a Production Manager / Account Coordinator to join our team!

The individual in this role will coordinate the flow of work and materials between clients and internal teams as well as identify areas of improvement to increase efficiency.

Responsibilities:

  • Proactively be a part of client planning discussions (or review session recordings) and extract actionable items / agreed-upon initiatives to be drafted and trafficked for production
  • Oversees daily staffing/traffic calendar. Collaborating with key staff to ensure proper project assignments, staff allocation, and resource management are in place to meet project demands maximizing the utilization of billable time, and resources
  • Administration of Teamwork (PM System) and other internal systems, maintaining and establishing accounts on the system to ensure comprehensive project documentation and hours are maintained
  • Review and distribute work internally and to clients in a professional, proactive, and timely manner
  • Analyze time spent on projects and utilization goals to determine pricing/efficiency
  • Participate in weekly pipeline meetings to understand upcoming resource needs
  • Collaborate with sales on all proposal needs
  • Monitor and track project profitability weekly with Account Managers troubleshoot issues that arise on a day-to-day basis
  • Reconcile project budgets during, and at the close of a job
  • Work with team members, manage the project process from strategy to creative through execution using our processes and tools
  • Enforce workflow process and procedures
  • Distribute weekly productivity reports and delinquent reports and project P & Ls
  • Build a robust freelance talent pool
  • Communicate with others to ensure effective coordination of efforts, timely problem resolution, and maximization of revenues
  • Proactively place holds on upcoming resource needs
  • Organize and lead internal meetings as necessary to ensure all project team members are on track to deliver on brand and on time
  • Coach and oversee junior team members on the execution of all individual job details
  • Develop the talent of the junior team by providing challenging assignments and ongoing constructive feedback
  • Hold debrief sessions with the project team to celebrate successes and to identify opportunities for process improvement
  • Monitors staffing needs and ensures proper coverage for functions during vacations or absences from work. Ensures administrative staff is trained and available to assist with preparing for client presentation materials and misc requests.
  • Lead or assist with special projects as needed
  • Other duties as assigned

Qualifications:

  • Excellent written and verbal communication skills
  • Previous experience in production, planning, or other related fields
  • Strong project management skills
  • Ability to prioritize and multitask
  • Ability to work well in teams or individually
